Aperto’s project managers bring customers together with the agency. They coordinate the collaborative efforts in every area — from the preparation of tenders to quality management and reviews.

Project Management

An Aperto project manager is a consultant, project manager, budget and quality manager. When we use the term “main contact person”, we really mean it. In other words, our project managers ensure that all important information is bundled before it’s passed on. Of course, our clients are also free to contact any of the experts in our other departments.

Best Practices and Processes

Aperto has developed a set of tools and methods that ensures a transparent and efficient project workflow. The processes defined within the scope of our quality management system are scaleable and we adapt them to our clients’ needs. While a classic waterfall model might suit a project, an agile approach like Scrum might be effective in other cases. Some central aspects have proven successful though.

Communications

During the entire project, the project manager is the client’s main contact person and gateway for both internal and external communications. Additional contact people, managers and communication channels are determined in a kick-off workshop.

Documentation and Requirements Management

Throughout the entire project, we document the deliverables in all areas and the requirements in writing. If desired, we’ll set up an extranet for our clients where they can access all of the documents relevant for a project such as detailed concepts, protocols and presentations.

Project Planning

Aperto plans projects based on an MS project plan proposed during the kick-off. We also use this to coordinate the final plans with our clients and compare the current situation with the desired outcome.

Workshop-Based Procedure

There’s one experience we’ve made in many different projects: the closer we work with our clients, the better the results are. We therefore prefer coordinating the deliverables and project’s preliminary results within the scope of a workshop. This way we can react immediately to any open issues, quickly make any desired changes, and work together with the client to develop solutions. In other words: we reach even better results faster.

Quality Management

Our focus lies on product quality and the continual optimisation of the project workflow. Back in 1999 already, we were one of the first multimedia agencies to implement ISO-certified quality management based on the manufacturing industry’s tough catalogue of criteria. The processes defined here not only apply to managers, but also have an effect on the work of our concept developers, designers, editors and programmers.

Today we have so much experience in this area that other companies consult us for the organization of their own workflows and processes.
